What do I do when I have a problem with my Ricoh copier?

Please contact the CUA computer Information Center.

If you choose to submit an online support form at help.cua.edu, please specify problem type "Hardware" and Sub-type "Copier", and be sure to list the building and room number where the copier is located.

The Information Center will determine whether the problem is one that can be handled in-house over the phone, or by a visit from CUA technicians. If it is not, they will instruct you to call Ricoh for service.

Note that each department should be able to handle these tasks, as they were included in the Ricoh training.

  • Changing the toner cartridges
  • Adding paper
  • Adding staples
  • Clearing a paper jam
  • Ordering toner and staples from Ricoh

CPIT can handle most other issues, including the following.

  • Copier communication issues, e.g.,
    • Can't log onto the copier panel to copy or scan
    • Scanned document won't send
    • Fax won't send
  • Setting up limited access to copier functions: copy, print, scan
  • Adding or removing people from copier function access lists

CPIT will instruct you to place a service call to Ricoh for these types of problems.

  • Resolving recurring paper jams
  • Fixing hardware problems with the copier
  • Moving the copier to another location

But, please call the Information Center first, before placing a service call with Ricoh.

 

How do I place a call to Ricoh service if instructed to do so?

You will need to provide the serial number for your copier, which is located on a sticker on the front of the unit.

 

Can I place Ricoh service calls online instead of calling?

Yes, departments can log onto RicohDirect to place service calls. You will need to register your copier on the site.

Log onto RicohDirect with your cua.edu e-mail address, but create a different password just for use with RicohDirect that is not the same as any of your CUA passwords.

 

How do I get supplies for the Ricoh copier?

Toner cartridges and staples are free from Ricoh through the university's contract.

Please check this page when you need to order supplies, as the contact may change from time to time.

Each department is responsible for purchasing their own paper.

Please be sure to use only toner that you have ordered specifically for this Ricoh copier. Using toner that is for a different copier (including older Ricoh models) can damage the copier.

 

The toner doesn't seem to be lasting too long. Is something wrong with my unit?

No, your unit is just "doing its thing". When you start to run out of toner, a red toner light will blink to remind to you to replace the toner. Once the light starts blinking, you have about 100 copies left--please make sure you have a new toner cartridge on hand.

 

Can I move my copier to another location in my office?

No, do not attempt to move the copier. The bracket that attaches the finisher to the copier can be demaged if the copier is not moved correctly.

Ricoh will move the copier for you. To request this, please contact the university's Ricoh representative (see below).

If your copier is networked, you should first check with CPIT to make sure that there is an available network port in the new location.

 

How are departments trained to use the copier?

When the Ricoh copiers were installed in late summer 2009, each department received in-person training from Ricoh on how to load toner cartridges, paper and staples into the copier, how to clear paper jams and how to use the basic functions of the copier.

If your department needs additional training, perhaps because new staff has been hired, please contact the university's Ricoh representative (see below) to arrange this.

 

We want to use our departmental copier for network printing and scanning. How do we get this set up?

Please contact the CUA computer Information Center. CPIT will send a technician to see whether the copier can be connected to a nearby network jack. If so, CPIT will configure your copier for network printing and scanning.

 

Can my department limit who can use our copier?

Yes, access to each copier function (copy, print, scan) can be limited, and each function can have its own list of people who are allowed to perform that function.

To request that this be set up for your copier, please open an online support ticket at help.cua.edu, specifying the building and room where the copier is located, problem type "Hardware" and sub-type "Copier". List which functions that you want to restrict, and for each function, provide a list of CUA e-mail addresses (@cua.edu or @cardinalmail.cua.edu only) that should be allowed to perform that function.

 

Why does the copier make me type my CUA network logon username and password when I want to scan or copy?

The network scanning functions of the copier can be abused to send anonymous e-mail. By logging on, the copier uses only your logged on e-mail address for its functions. Please be sure to log out of the copier by pressing the "Logout" button when you are finished, as you are responsible for any activities that take place using your logon account.

Any Ricoh copier connected to the CUA network must use authentication for scanning. Departments may also opt to require authentication for copying and printing (see previous question).

If you are finding it difficult to type your password on the copier, please consider selecting a CUA password that is easier to type on the Ricoh panel. Choose special characters that appear on the main panel keyboard rather than those that require the Shift key, for example.

 

Should the copier be turned off at the end of each day?

No, the new Ricoh copiers have an energy saver feature in which the units will power down when not in use. Once you touch a key or place your documents in the feeder, the unit will wake itself up.

 

The copier was accidentally powered off. How do we turn it back on?

If the copier is completely powered off, turning it on is a two-step process.

  1. Lift the plastic shield covering the red power switch on the left front of the copier, and press the switch to the "1 On" position. Wait 10 seconds.
  2. Press the main power switch on the copier panel.

Normally you should not turn your copier off, as it uses energy saving features automatically. But, if you do need to this for some reason, follow these two steps.

  1. Press the main power switch on the copier panel. Wait 10 seconds.
  2. Lift the plastic shield covering the red power switch on the left front of the copier, and press the switch to the "0 Off" position.
