Differences in the New
AVST CallXpress Voice Mail System

The new AVST CallXpress voice mail system has several differences from the Octel/VMX legacy system that was in use at CUA for many years.

Logging On From Your Campus Phone

CallXpress is integrated with the campus phone system so that when you access it from a campus phone by calling x4545, it knows that you want to access the mailbox belonging to that phone. Therefore it prompts you only for your security code. You do not need to indicate to the system by pressing another key that you have finished entering your security code.

In the legacy system, you had to press # to indicate that you want to access your phone's mailbox, and you had to press # after your security code to indicate that you were finished entering it.

Strong Security Codes

The CallXpress uses strong security codes. The minimum allowed length of your security code is five digits.  The security code may not contain the mailbox number or a simple sequence of numbers, and it must contain at least three unique digits.  For example, security codes such as 00000, 98765, and 24680 (on extension 2468) are invalid.

Multiple Personal Greetings

CallXpress supports three personal greetings:

  1. Standard is the greeting callers usually hear when you do not answer your phone.
  2. Busy is the greeting callers hear when you are on your phone and the line is busy.
  3. Out-of-Office is a greeting that can be enabled to replace your Standard greeting when you are away for an extended time. This means that you can have a permanent Standard greeting.

Review Standard Greeting (1 6, 1, 3, 2)

The legacy system allowed you to quickly review your standard greeting by pressing 4, 5.  To review and optionally change your standard greeting in CallXpress, press 1 6, 1, 3, 2.  (This command sequence invokes the PhoneManager user option menu, selects personal option record a personal greeting, and selects the Standard greeting.) Your Standard greeting plays. If you do not want to make any changes, press * * * to return to the main menu.

You can similarly review and optionally change your Busy greeting by pressing 1 6, 1, 3, 1 and your Out-of-Office greeting by pressing 1 6, 1, 3, 3. If you do not want to make any changes, press * * * to return to the main menu.

To quickly record your Standard greeting without first reviewing it, press 4, 6 at the main menu.  Press 4, 7 to quickly record your Out-of-Office greeting.

Messages Saved After Listening

The default in the CallXpress system is to save a new message after it has been reviewed. When you are listening to your new messages, you will hear "the message has been saved" when you reach the end of the message.  If you do not want to save the message, press 3 to mark it for deletion.  The default action in the legacy system was to mark new messages for deletion after review.

It is a good practice to periodically review your saved messages and delete any that you no longer need.

Three week message retention

Messages in your mailbox are retained for three weeks. After that time, they are purged automatically from the system and are no longer accessible. (The legacy system retained messages for two weeks.)

Bypass Remainder of Greeting (1)

Callers may press 1 to skip listening to the remainder of a Standard or Busy personal greeting. (It was * rather than 1 in the legacy system.) This shortcut makes it faster to leave a message, as the caller does not first have to listen to the entire greeting. Note that callers may not skip an Out-of-Office greeting.

Cancel Operation (*)

The asterisk key on your phone's touchpad can be used to cancel an operation. If you are in your mailbox, pressing * cancels whichever operation you had started. If you are listening to someone's standard or busy greeting, pressing * skips the remainder of the greeting and takes you to the primary system greeting where you can enter another extension or press # to enter your mailbox.

Exit Voice Mail (9)

Pressing 9 exits the voice mail system, same as in the legacy system. After pressing 9, CallXpress will say "To receive new messages, press the # key." This does not mean that you actually have new messages. You can press 9 again to cause CallXpress to disconnect. Then hang up your phone. This is the recommended way to end your voice mail session.

Change Settings with PhoneManager (1 6)

CallXpress consolidates user settings into a section of the menu called PhoneManager. PhoneManager is used to manage your mailbox settings, including reviewing and changing greetings, name, security code and message options. You access PhoneManager by pressing 1 6.

Distribution Lists

CallXpress has a different method of setting up call distribution lists. If you need a distribution list, please contact the computer Information Center so that one can be created for you.

Telephony User Interface

The Telephony User Interface (TUI) is the touch tone interface system by which you issue commands to the voice mail system.  The AVST CallXpress supports several different TUI's. The CallXpress TUI in use at CUA is the Octel Serenade TUI, which is closely compatible with the TUI on the legacy system. So you should notice few differences in the main touch tone commands.

A Quick Reference Card is available that shows the Serenade TUI command flow in the CallXpress system. (Note that the Reference Card includes commands for optional features such as faxing that are not licensed for use at CUA at this time.)
