What do I do when I have a problem with my Ricoh copier?

Technology Services will either handle the service request itself, or will contact Ricoh Support on your behalf.

Email techsupport@cua.edu. Please include the machine's ID number located on sticker on the front of the copier, the building and room number where the copier is located, and, if you know it, the name of the printer queue that you use to print to the copier.  

Technology Services contact Ricoh technical support on your behalf, or will perform the requested action ourselves, depending on the nature of the request or problem.

How do I get supplies for the Ricoh copier?

Toner cartridges and staples are free from Ricoh through the university's contract.

The copier must be registered with Ricoh before you can order supplies.

Each department is responsible for purchasing their own paper--copier paper is not included in the university's contract with Ricoh.

Please be sure to use only toner that you have ordered specifically for this Ricoh copier. Using toner that is for a different copier (including older Ricoh models) can damage the copier.

 The toner doesn't seem to be lasting too long. Is something wrong with my unit?

No, your unit is just "doing its thing". When you start to run out of toner, a red toner light will blink to remind to you to replace the toner. Once the light starts blinking, you have about 100 copies left--please make sure you have a new toner cartridge on hand.

 Can I move my copier to another location in my office?

No, do not attempt to move the copier. The bracket that attaches the finisher to the copier can be damaged if the copier is not moved correctly.

Technology Services will coordinate the move with you and Ricoh. There will be a charge for this service. Please email techsupport@cua.edu to let us know where/when you would like the Ricoh to move. We will work with you to ensure that there is an available network port in the new location and ensure the transition is smooth.

 How are departments trained to use the copier?

If your department needs additional training, perhaps because new staff has been hired, please contact the university's Ricoh representative (see below) to arrange this.

 We want to use our departmental copier for network printing and scanning. How do we get this set up?

Your multifunction machine must be connected to a nearby network jack. Technology Services will configure your copier for network printing and scanning when it arrives within two days.

 Can my department limit who can use our copier?

Yes, access to each copier function (copy, print, scan) can be limited, and each function can have its own list of people who are allowed to perform that function.

To request that this be set up for your copier, please open an online support ticket at help.cua.edu, specifying the building and room where the copier is located, problem type "Hardware" and sub-type "Copier". List which functions that you want to restrict, and for each function, provide a list of Catholic University e-mail addresses that should be allowed to perform that function.

 Should the copier be turned off at the end of each day?

No, the Ricoh copiers have an energy saver feature in which the units will power down when not in use. Once you touch a key or place your documents in the feeder, the unit will wake itself up.

 The copier was accidentally powered off. How do we turn it back on?

If the copier is completely powered off, turning it on is a two-step process.

  1. Lift the plastic shield covering the red power switch on the left front of the copier, and press the switch to the "1 On" position. Wait 10 seconds.
  2. Press the main power switch on the copier panel.

Normally you should not turn your copier off, as it uses energy saving features automatically. But, if you do need to this for some reason, follow these two steps.

  1. Press the main power switch on the copier panel. Wait 10 seconds.
  2. Lift the plastic shield covering the red power switch on the left front of the copier, and press the switch to the "0 Off" position.

How do I get a printable manual for my Ricoh copier?

You can find a manual for the Ricoh copier on Ricoh's web site: www.ricoh-usa.com.

Why aren't some of my scans coming through my email?

Google limits attachment sizes to 25 MB. Anything over this cause the mail to not send. To deal with this limitation, you can scan directly to a USB drive. The USB port is location on the Ricoh to the right of the interface. 

A good rule of thumb to know how many pages will hit the 25 MB threshold is:

1.25MB = 25 pages typed single sided or 12.5 pages standard typed double sided
25MB  = 25 single sided pages color or 12.5 pages double sided 

How can I email a document from Ricoh scanner?

You can view this short YouTube video that will show you how to scan on our Ricohs. If you have a Catholic University email address, you simply need to select Scan and then select Manual Entry to enter your email address. Once it has been entered, you can scan. 

Can I lock my Ricoh so only my department can scan/copy? 

Yes, this is a free service Ricoh can provide to your department. You can choose to use one code for the entire department or one code per person. Your department is responsible for keeping track of the codes. To obtain this service, please contact Technology Services and we will coordinate it with Ricoh on your behalf.
